Privacy Policy

Last Updated: August 12, 2026

Truss Ops Co ("Truss Ops," "we," "us") operates the Truss Ops software platform, related field and office tools, Sentry PM AI features, and public Field Box surfaces. This Privacy Policy explains what information we collect, how we use it, and the choices available to you.

This Policy works together with our Terms of Service. Capitalized terms not defined here have the meaning in the Terms.

1. Who this Policy covers

  • Workspace customers and their users (owners, project managers, leads, crew, invited subcontractors / sponsored users).
  • Visitors to our marketing sites and public pages.
  • Field Box submitters who use NFC or public capture tools without (or before) creating a full account.

2. Information we collect

Account and workspace data

  • Name, email, phone, role, company/workspace identifiers, and authentication data (via our auth provider).
  • Billing-related identifiers and subscription status processed by our payment processor (currently Stripe). We do not store full payment card numbers on Truss Ops servers.
  • Settings, feature flags, module access, and preferences (including language and presentation preferences).

Operational / User Content

Content you or your users create or upload in the Service, such as:

  • Projects, materials, crew logs, site notes, change directives, expenses, invoices, contacts, punch/QA records, and related notes.
  • Photos and attachments (including field photos) and project documents (plans, specs, PDFs, spreadsheets, emails, and similar files).
  • Metadata associated with those records (timestamps, project links, and similar).

Device and usage data

  • Approximate technical logs needed to operate and secure the Service (for example, IP address, user agent, error diagnostics).
  • Optional device permissions you grant (camera, location) for field capture features; consent choices may be stored locally on the device.
  • Session tokens stored in the browser (for example, localStorage) so you can stay signed in.

Field Box

Submission payloads, email addresses you provide for PDF delivery, device or tag identifiers used for rate limits, and temporary stored documents until convert, delete, or retention expiry.

Communications

Emails we send or receive (invites, digests, Field Box PDFs, support, transactional notices) via our email provider (currently Resend).

3. How we use information

We use information to:

  • Provide, maintain, and secure the Service (including multi-tenant company scoping).
  • Authenticate users, manage roles, and process subscriptions.
  • Generate PDFs, reports, emails, and in-app notifications.
  • Provide optional AI features (Sentry PM) you enable, including sending relevant content to AI model providers to fulfill the request.
  • Index and search documents (including OCR/text extraction and embeddings where those features apply).
  • Improve reliability, prevent abuse, and comply with law.
  • Communicate about the Service, billing, and material policy updates (including in-app notices).

We do not sell your personal information.

4. AI processing (Sentry PM)

When you use AI features, prompts, documents, images, or other content needed for the feature may be transmitted to third-party AI providers (for example, Google Gemini or successors) to generate responses, extractions values, or embeddings. AI features may be limited by subscription tier and usage metering. Outputs can be wrong; you must review them. Optional trade-knowledge or similar contribution features apply only if enabled in workspace settings.

5. How we share information

We share information with:

  • Service providers / subprocessors that help us run the Service, such as hosting, database/auth/storage (e.g., Supabase), payments (e.g., Stripe), email (e.g., Resend), and AI providers for enabled features.
  • People you authorize inside your workspace (teammates, invited subs) according to roles you configure.
  • Authorities when required by law or to protect rights, safety, or the Service.
  • Successors in connection with a merger, acquisition, or asset transfer, subject to appropriate safeguards.

We do not share your workspace content with other customers except as you enable (for example, optional scrubbed contribution programs) or as needed for support you request.

6. Retention

We retain account and workspace data while your account is active and as needed for backups, disputes, security, and legal obligations. Field Box data may be retained temporarily until convert, delete, or expiry under product rules. You may use in-product tools (where available) to delete or export certain data; contact us for account-closure assistance.

7. Security

We use reasonable administrative, technical, and organizational measures appropriate to the nature of the Service (including access controls and encrypted transport where standard). No method of transmission or storage is perfectly secure.

8. Your choices and rights

Depending on your location and role, you may be able to:

  • Access or update profile information in the app.
  • Ask your workspace owner/admin to correct or remove operational records.
  • Disable optional AI or contribution settings where provided.
  • Withdraw device permissions in your device OS settings.
  • Sign out and clear local session data from your browser.
  • Request deletion or export assistance by contacting us (workspace owners should initiate company-wide requests).

We may need to verify your identity and authority (especially for company data) before acting on a request.

9. Children

The Service is directed to business users. We do not knowingly collect personal information from children under 16 for the Service.

10. International processing

We may process information in the United States and other countries where we or our providers operate. By using the Service, you understand that your information may be transferred to those locations.

11. Changes to this Policy

We may update this Privacy Policy by posting a new version and, for material changes affecting authenticated users, requiring acceptance (versioned PolicyGate) and/or sending in-app notifications on a scheduled basis. The "Last Updated" date and version identifier will change when we publish.

12. Contact

For privacy questions or requests, contact Truss Ops Co using the support or contact channels published on our website (trussops.com) or in-product support.

Utah, United States (governing operations as described in our Terms).
